See how your store really runs and where it loses time

I map the operational processes of your WooCommerce store, from order to delivery, and propose concrete improvements before anyone thinks about new tools.

In short

Process mapping and optimisation is the work of documenting how tasks are actually done in a business and redesigning them to remove unnecessary steps, errors and waiting. For WooCommerce stores, I focus on processes such as order fulfilment, returns, stock management, invoicing and customer service. It is for stores where sales growth has brought more manual work, more mistakes and a reliance on specific people.

Symptoms of processes that need attention

  • Everything depends on one person

Only one person knows how to handle returns or reconcile stock, and when they are away the work stops or goes wrong.

  • Steps repeated across systems

The same information is entered in the store, the invoicing tool, the courier's system and a spreadsheet.

  • Errors that reach the customer

Mixed-up orders, invoices with wrong details or customers left without an update on their delivery.

How I map and improve processes

I observe and document the process as it is done today, not as it should be. Only then do I design the improved version, starting by simplifying and removing steps and leaving automation for whatever still makes sense.

  • A current-state map built with the people who do the work
  • Waiting time, duplicated steps and error points identified
  • A simplified future process before any automation
  • Written procedures so the process no longer depends on one person

What you get

  • Current-state process maps

Diagrams of the processes reviewed, showing people, systems, steps and points of friction.

  • Issues and root causes

Each issue found, with its likely cause and its impact on time, errors or customer experience.

  • Future-state process maps

A redesigned version of each process, with steps removed, simplified or automated.

  • Standard operating procedures

Step-by-step instructions for the redesigned processes, ready for onboarding new people.

  • Implementation plan

The sequence of changes, separating what can start now from what depends on automation or integration.

How the work runs

  1. Process selection

I choose with you the processes with most impact on customers or on the team's time.

  2. Current-state mapping

I shadow the people who run each process and document every step, system and decision.

  3. Redesign

I propose an improved version of each process and validate it with the people who will run it.

  4. Documentation and launch

I write the procedures, support the launch and review the process after the first few weeks.

Why not automate straight away?

Automating a messy process usually just makes the mess faster. Simplify first, then automate whatever still makes sense. Many improvements need no new tool at all.

Which processes do you usually review in an online shop?

The most common are order fulfilment, returns and exchanges, stock management, invoicing and customer service. The choice depends on where your store's biggest problems are. I start with those that affect customers directly.

Does my team have to stop work for this?

No. Mapping is done in short sessions and, wherever possible, by observing real work. I ask for occasional time from the people who run each process.
